We were approach by a private insurance group for a virtual meeting solution, which was seamless and trouble free. Before coming to us, they had tried to used their laptops in a zoom meeting space - keeping some board members 6 feet apart - while connecting other board members remotely via Zoom. This approach introduced unreliable results, with bad feedback between microphones (e.g. that high pitched squealing noise) and constant audio problems between the remote participants and the boardroom attendees.
For their boardrooms - the solution 22nd Avenue Entertainment Logistics provided was a "two-room" conference, which separated local and remote audio - immediately creating clarity and more control over the quality. All participants were able to hear clearly. This was accomplished with high-end switching equipment by Blackmagic Design and Kramer Electronics. For the video aspect, we added a second projection screen to feature additional attendees, as well as act as a dedicated screen for remote presentations. This allowed for participants in the boardroom, to see the presentation clearly from remote virtual presenters. The solution was scalable, which also allows for the client to opt in for future purchasing and/or additional rooms to allow for "close sessions", "virtual break-out rooms" and much more.

It’s wild how many hybrid events today still feel clunky — like the whole industry got a crash course in 2020 but never took the advanced class. The truth is, hybrid is harder than it looks — it’s not just a webcam in the back of a ballroom. It’s about designing the remote experience with the same care as the in-room one.
